What Starseed Provides

A dedicated Retreat Manager to help organize and ensure everything goes according to plan. Onboarding call with customized planning timeline.

A welcome packet including:

  • Property map
  • Sample menus
  • Sample schedules
  • Marketing assets
  • Policies & guidelines
  • Guest packing list and “know before you go” details you can share
What Hosts Do
  • Sign the retreat agreement
  • Pay the reservation deposit (typically 30% deposit due upon booking, based on contract terms).
  • Confirm the anticipated guest count

Starseed Coordinator Helps With:

  • Building a full retreat itinerary (activity, meals, workshops, downtime)

  • Creating an activity layout (yoga deck, dining setup, ceremony circle, etc.)
  • Providing recommended time slots based on weather and sunlight

Hosts Receive:

  • A plug-and-play schedule template
  • A sample 3–7 day retreat flow
  • Recommended arrival/departure windows for guests
  • Daily rhythm suggestions for yoga, cooking, or corporate groups
Culinary Planning & Menu Customization

With our on-site farm-to-table program, hosts choose from:

  • Standard, seasonal menu with Chef favorites
  • Elevated culinary menu
  • Nourishing wellness menu (focus on medicinal foods)
  • Custom farm-to-table dinner
  • Custom options & add-onslike daily upgraded herbal tea & fresh-squeezed juice bar, herbal elixir bar etc.
  • Hands-on culinary experiences (for cooking retreats)

Frequently Asked Questions

  • How far in advance should I book my retreat?

    We recommend booking 3–12 months in advance to secure preferred dates and allow adequate time for marketing and planning. Limited availability may exist for last-minute bookings.

  • What is required to secure my retreat dates?

    A signed Retreat Hosting Agreement, a 30% non-refundable deposit, and a credit card on file are required to hold dates.

  • What is your cancellation policy for hosts?

    Cancellations made more than 60 days before the retreat start date will forfeit the initial deposit (30% of total).Cancellations made 30-60 days before the retreat start date forfeit the 50% of all payments made.Cancellations made within 30 days of the retreat start date forfeit all payments made.

  • What support do you provide to retreat hosts?

    Each host is assigned a dedicated Retreat Coordinator who assists with:

    • Planning timelines
    • Itinerary development
    • Menu selection
    • Room assignments
    • Add-on experience coordination
    • On-site support during the retreat

    Our goal is to make hosting seamless so you can focus on leading.

  • Do you help promote retreats?

    Yes. We offer cross-promotion and marketing support, including:

    • Website listing under Upcoming Retreats
    • Social media features, with options for paid placement
    • Email newsletter highlights (timing dependent)
    • Co-branded promotional graphics
    • Access to professional property photos and video

    Optional photography and videography packages are also available.

  • What is included in the retreat rate?

    Rates typically include:

    • Lodging accommodations, facilities & amenities
    • Access to retreat spaces, grounds and all common areas
    • Farm-to-table meals
    • On-site coordination & support
    • Water and herbal tea stations
    • Property access

    Optional add-ons are available at additional cost.

  • Can I bring outside facilitators or vendors?

    Yes, with prior approval. Hosts are responsible for all third-party facilitators, including their conduct, insurance, and compliance with property rules.

  • Are hosts responsible for guest behavior?

    Yes. Hosts are responsible for communicating venue rules and ensuring guests respect the land, facilities, and community.

  • Is insurance required for hosts?

    Event or retreat liability insurance is strongly recommended for hosts, especially for movement-based or physically active programming.

  • Do hosts need to sign a liability waiver?

    Yes. All retreat hosts are required to sign a Host Liability Waiver prior to arrival.
